As an active team member of the one-stop Student Services team, the Student Services Administrative Assistant & Events Coordinator has baseline administrative knowledge of the services provided by the following offices: Admissions, Student Records, Student Accounts, Financial Aid, International Student Services, Undergraduate Advising, and Planning, Graduate Advising, Housing and Dining, and Residential Education. The position supports the one-stop centralized office, answers students’ questions through email, in-person drop-ins, text, and other virtual platforms, monitors & coordinates the Teamwork Desk centralized ticketing system inboxes, and serves as the first point of contact for all students in their college administrative needs. This position requires excellent customer service skills.
The Student Services Administrative Assistant & Events Coordinator also project-coordinates Admissions recruitment and enrollment events such as Open House, National Portfolio Day, and Admitted Student Day. This position will handle all administrative functions, including reserving rooms, ordering catering, and other on-site arrangements for the success of all on-campus events for the Enrollment Management division.

This position is based on the CCA San Francisco campus as onsite support and will have the ability to occasionally work one or two days a week from home.
Note this position is 30 hours/week, benefits eligible.

MAIN RESPONSIBILITIES:

Student Services Administration Assistant – 60%

  • Provides excellent, professional customer service in serving students by greeting, welcoming, and directing them appropriately when students are seeking support and questions answered related to the areas of Admissions, Student Records, Student Accounts, Financial Aid, International Student Services, Undergraduate Advising and Planning, Graduate Advising, Housing and Dining, and Residential Education.
  • This position requires patience, compassion, and empathy when responding to student concerns specifically with complicated student situations.
  • Follows pre-established processes and procedures to answer baseline questions for students relating to the administrative offices and navigate the student to the appropriate support staff.
  • Organizes student questions or inquiries by critically thinking through the various offices involved in resolving the student’s concerns.
  • Monitors internal systems: Workday, Teamwork Desk and Projects, YouCanBookMe, Zoom, phone, and text platforms and ensures timely responses are made.
  • Provides baseline support to team members during vacation or busy periods.
  • Maintains the Student Services Office space and orders office supplies when needed.
  • Maintains communication with various offices to keep up to date with changes.

Events Coordinator – 35%

  • Executes administrative tasks in support of Graduate & Undergraduate Admissions events, including facility and equipment reservations, ordering catering, and facility requirements.
  • Provides project coordination support for events, including event promotion, staff scheduling, and coordinating event materials. This individual would be present at the Graduate & Undergraduate events: Open House, Admitted Student Day, and National Portfolio Days
  • Prepares and ships materials for off-site events
  • Liaison for Admissions with various CCA offices that services during planning and execution of events including Catering, Business Office, Room Reservation, Facilities, and others.
  • Maintains display of admissions materials for visitors and events

Other – 5%

MINIMUM REQUIREMENTS:

  • 2 years of customer service experience in providing event coordination and/or program support, preferred in public administration, education, arts administration, cultural arts, or similar environments.
  • Communication and critical thinking skills, being able to articulate in front of high stakeholders
  • Able to provide professional and good customer service
  • Can multitask and keep on top of tasks in a fast-paced environment
  • Computer proficiency is required.
  • Must know general office management and fundamental processing of administrative details.
  • Must possess excellent written and verbal communication skills; strict attention to detail; ability to work successfully in a team environment with diverse individuals, including staff, student, faculty and the public. Ability to meet deadlines, manage multiple tasks, assimilate details about the range of Enrollment Management’s programs, activities and services, and apply them effectively is essential.
  • Experience in a college admissions office is helpful.
  • BA degree is preferred.

COMPENSATION & BENEFITS:

The compensation for the position is $26/hour.

CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents. POSITION DETAILS:

  • CCA considers a full-time work week to be 37.5 hours per week
  • Work Mode: Campus Hybrid
  • This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.
  • Schedule: 30 hours per week. Mon – Fri 9:30am-4:30pm
